OUR TERMS AND CONDITIONS
All trips operated by Apex Horizon Safaris clients receive a detailed itinerary describing the different places they will go and things they will see, so they know what to expect. The safari services agreed with the client will be provided, except in the event of unforeseen circumstances, such as road closures, bad weather, problems, or security considerations. In such cases, the itinerary may be changed at the discretion of the company, clients informed, and alternative arrangements made as circumstances permit. Apex Horizon Safaris will make every reasonable effort to ensure the same quality and character of the itinerary.
Clients must accept that conditions in Tanzania/Africa are not the same as those in developed countries. In Tanzania/Africa, we are exposed to unannounced and sudden changes in government-regulated fees and taxes, such as national park fees and taxes. Apex Horizon Safaris has the right to pass these local taxes/fees on to their customers.
Payment Terms
After clients confirm their booking, they receive an invoice with all details. To confirm our clients’ reservation, we require a 45% deposit payment of the itinerary cost and 100% upfront payment for airline tickets. The balance of payment is due 65 days prior to the commencement date of your itinerary. Bookings made within 65 days prior to departure are subject to full prepayment at the time of confirming the reservation.

Payments can be made by bank wire/transfer.
Cancellation Policy
In the event that you cancel your booking, in full or partially, for any reason whatsoever, Apex Horizon Safaris will levy cancellation charges as defined below:
65+ days before departure: deposit non-refundable
50–65 days before departure: 50% of the itinerary cost
0–50 days before departure: 100% of the itinerary cost
After your booking has been confirmed, should you wish to make any changes to your itinerary or wish an earlier departure date, we will make every effort to accommodate your requests based on availability. However, the extra costs involved to make changes are €150.
Website Pricing
All prices published on the website are per person, based on two persons (unless otherwise stated), and quoted in US dollars (US$).
Costs of obtaining passports or visas, border taxes (if applicable), tips for guides, drivers, and hotel staff, insurance, additional excursions, or personal expenses are not included in the itinerary cost.
Discount rates for children or peak rates during high/festive seasons are not included. All prices should be used as a guideline only. Apex Horizon Safaris cannot be held responsible for any changes or pricing errors. Final costs are specified in invoices. Quotations are valid for two weeks.
Travel Documents
You receive all travel documents (vouchers, e-tickets, luggage labels, and flyers) two weeks before departure.
Insurances
It is a condition of booking that the sole responsibility lies with the guest to ensure they carry correct comprehensive travel and medical insurance for the duration of their trip. This should include medical expenses and repatriation expenses.
Optional cover includes cancellation, emergency evacuation, and loss of baggage or personal items.
Passports and Visas
Guests are responsible for ensuring passports and visas are valid. Most nationalities can obtain a tourist visa on arrival in Tanzania (subject to official fees and regulations).
Passports must have at least six months validity beyond travel dates. Apex Horizon Safaris is not responsible for visa issues or related costs.
Check Names
Please check names on invoices carefully. Name changes after three days of invoice issuance may incur a €125 fee.
Contract
Your contract is with Apex Horizon Safaris. By confirming your booking, you accept these terms and conditions.
Booking Procedures
We create tailor-made safaris to suit personal needs. A binding contract is formed upon receipt of deposit or full payment. Full payment is required 12 weeks prior to departure.
Medical Conditions and Disabilities
Please inform us of any medical conditions or disabilities before booking. We reserve the right to decline bookings where we cannot provide suitable arrangements.
Documentation
Check all travel documents immediately upon receipt. Errors must be reported within 14 days.
Amendments by You
Changes after deposit are subject to fees. No changes allowed within 12 weeks of departure.
Cancellation by Apex Horizon Safaris
We may cancel bookings before full payment if necessary, offering refunds or alternatives. We are not liable for force majeure events (war, pandemics, natural disasters, etc.).
Amendments by Apex Horizon Safaris
We may make changes due to operational reasons. Alternatives or refunds will be offered where appropriate.
Our Responsibilities
We ensure your safari is delivered as described and meets reasonable local standards. We are not responsible for third-party services not booked through us.
Carriers
Air and sea transport is subject to carrier terms. We are not liable for delays, cancellations, or lost luggage caused by carriers.
Insurance Requirement
Valid travel insurance is mandatory. Failure to obtain insurance may result in cancellation.
Governing Law
This contract is governed by the laws of Tanzania, with jurisdiction in Dar es Salaam courts.
Waiver of Claim Against Introducer
If referred by a third party, all claims must be directed to Apex Horizon Safaris only.
Problems During Travel
Report issues immediately to your guide or provider. Written complaints must be submitted within 28 days after return.
